As your Bloomreach project grows, you'll accumulate campaigns, scenarios, weblayers, and other assets that are no longer in active use. Keeping your project tidy improves navigation, reduces clutter, and helps your team focus on what matters. But when it's time to clean up, should you archive or delete?
This article explains the key differences and helps you choose the right option.
What happens when you archive
Archiving is a soft removal. The object is moved out of the default "Live" view but remains stored in your project.
The object disappears from the main list but can be found under the Archived tab or filter.
All configuration, settings, and associated data are preserved.
The object can be unarchived and restored to active use at any time.
Inactive campaigns are automatically archived after 30 days of inactivity - this is a platform-side housekeeping action, not a deletion.
In short: Archiving is reversible and non-destructive.
What happens when you delete
Deleting permanently removes the object's configuration from your project.
The object is removed from all views, including Archived.
The configuration cannot be restored through the standard UI.
Historical tracking data (events, metrics, analytics) associated with the object are not removed by deletion - only the object configuration itself is removed.
In short: Deletion is irreversible and should be used with caution.
How to archive and delete
Most objects (scenarios, email campaigns, weblayers, and other assets) follow the same pattern:
Navigate to the relevant section (for example, Campaigns > Scenarios or Campaigns > Email campaigns).
Find the object in the list.
Click the dropdown menu (three dots or arrow next to the object) and select Archive or Delete.
Confirm the action.
For bulk operations, use the Actions tab at the top left of the asset list (hover over and select an empty square) to work with multiple items at once.
When to archive
Choose archiving when:
The campaign or scenario is seasonal or recurring, and you may need it again (for example, Black Friday, holiday campaigns).
You want to declutter your workspace without losing the configuration.
The object is temporarily inactive but might be reactivated.
You're unsure whether the object will be needed in the future - archiving is the safe default.
When to delete
Choose deletion when:
The object is a test or draft that was never used in production and never will be.
The object is duplicated or obsolete, and you're certain no one will need it.
You need to permanently remove an asset for compliance or governance reasons.
You've confirmed that no active scenario, campaign, or initiative references the object.
Before deleting: Check whether the object is used in other scenarios, campaigns, or initiatives. Deleting an object that is still referenced may cause errors or broken references in dependent workflows.
